Position summary The Human Resources (HR) Assistant assists in supporting the day-to-day operations of the CHRO and the human resources department through astute attention to detail, excellent customer service skills, proficient use of technology, and the proven ability to exercise good HR-related judgment.
This position serves as a key facilitator in assisting with HR procedures and practices, HMIS integration, and department accountability.
Major responsibilities and related tasks Support overall HR functions with excellent customer service and organizational skills in coordinating inquiries, HR processes, and special requests with the ability to problem-solve effectively in person and over the phone Assist the Chief Human Resources Officer in all areas of administration Expeditiously manage employment-related inquiries from applicants and supervisors, referring complex and/or sensitive matters to appropriate staff or CHRO.
Provide outstanding customer service and coordinate staff requests regarding various HR-related issues, such as background and telephone reference checks, employee form completion and tracking, benefit inquires, leave requests, temporary staff, and others.
Support and enable positive online applicant experiences by fully utilizing MIFA's HMIS system (Paylocity) to facilitate the hiring of qualified applicants.
Complete HR tasks and communicate status updates using the employment schedule which reflects ongoing HR activities and HR functions Provide weekly updates on the HR employment schedule and report on the status of ongoing tasks.
Follow up with management, vendors, staff, and others as needed to ensure tasks on the employment schedule are properly completed Track and send notifications to managers regarding 90-day trial notifications Track and send notifications to managers regarding FMLA/LWOP/workman's comp process, ensuring appropriate documentation of employee exits, responses, and reentry.
Coordinate exit processes, exit checklist, and separation notices.
Maintain HR administrative billing processes and file management system (paper and electronic) for all HR processes and audits Utilize billing schedule to timely track, reconcile and code all HR monthly bills Respond to random audit requests from programs and serve as MIFA's audit coordinator and agent of record for all compliance issues, including Affordable Care Act, EEO, OSHA, etc.
Oversee, manage, and update all HR shared folder files Manage and coordinate all active and terminated electronic and paper employee files, employee acknowledgements, and manual files Manage and keep current all HR forms and employee-related documents via manual files and electronic Perform tasks required to enhance employee relations and positive workplace productivity and morale.
Facilitate monthly nominations for staff All-Star Awards by notifying winners, emailing, and monitoring award program effectiveness Coordinate/forward monthly birthdays and cards, retirement celebrations, and annual employee appreciation activities, etc.
Promote and actively participate in employee relations activities which may include meetings and facilitating employee engagement activities Collaborate and communicate to ensure timely posting of internal and external positions Astutely utilize HMIS system and appropriate modules to ensure department efficiency Proficient and subject matter expert in instructing and supporting managers in utilizing HMIS (Paylocity) online system to curate applications Other responsibilities Coordinate entry and exit of available temporary, Meritan staff, interns, or volunteers as needed.

00 Requirements:
Qualifications Bachelor's degree in business administration preferred.
Four years' experience in human resources related field with demonstrated experience in full cycle employment processing, i.
e.
, recruiting, onboarding, and benefit administration.
Two years' experience maintaining or working with Microsoft Office, databases, or HMIS systems.
Proficiency with various communication systems:
search engines, presentation equipment, Microsoft Office including Outlook, and various database systems (E-verify preferred).
Estimated Salary: $20 to $28 per hour based on qualifications.
