Management and Program Assistant (Analysis/OA)

Major Duties:
Maintains the calendar for the Section Chief of Nursing and arranges appointments and meetings, including the coordination and distribution of; on-call, teaching rounds, and grand rounds schedules. Contact patients, employees, supervisors, and managers in person, telephone or written correspondence. Assures accurate recording and maintenance of information concerning policies, and regulations governing the time and leave system. Provides training to administrative staff in proper medical center/MHS policy and procedures; proper format for correspondence, memoranda, letters, routing and transmittal slips; and other general Mental Health Service organizational processes. Uses word processing software to create a variety of documents. Meets the needs of customers while supporting the Mental Health Service and Medical Center missions. Uses spreadsheets to develop and maintain data. Responsible for managing the complexity of the credentialing process for Mental Health Service, including the many different documents needed for credentialing. Prepares drafts of memos requiring professional standard board consideration for promotions, special pay advances. Prepares and tracks SF 52 forms for full range of personnel actions. Monitors clinical patient loads to ensure mental health teams have proper appointment time slots. Coordinates and performs necessary tasks to ensure MH student and resident rotations are accomplished. Perform a range of analytical studies and projects related to the Service's operation in the area of management and productivity improvement. Submits recommendations for changes in objectives and operations. Coordinates resolutions of patient complaints. Considers the proper and most cost-effective utilization of resource by conducting surveys of existing resources, evaluating and making recommendations concerning space, personnel, equipment, fiscal matters, etc. Must be able to handle confidential information, exercise initiative and judgment and make decisions with the scope of assigned authority. Coordinate activities and to provide support to management regarding new programs and initiatives. Assume responsibility without direct supervision. Work Schedule:

Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. Experience:
You must have one year of specialized experience equivalent to at least the next lower grade GS-06 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to:
Researching and interpreting policies, directives, survey standards, and regulatory requirements; Analyzing data by reviewing and reporting workload statistics and program functions; Preparing correspondence for internal and external distribution; Leads activities involved in Administrative Investigations, Root Cause Analysis; Congressional inquiries; Conducting inspection and quality reviews to ensure compliance with Joint Commission Standards; Managing service line budgets, fund control points, and contracts. OR Education:
Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have one full year of graduate level education in a field which demonstrates the knowledge, skills, and abilities necessary to do the work of the position.
